Extensions and extenuating circumstances for PGR
Find out how to apply for an extension or a Notification of Extenuating Circumstances (NEC).
Extensions to registration period
If you think you might need to an extension to your registration period (and therefore, your thesis submission date), it’s advised to apply for one as soon as possible. The closer to your final submission date, the more difficult it can be to have the extension approved.
Remember that you can discuss your options and ask for support from your supervisors or your Director of Doctoral Programmes (DDP) if you encounter difficulties or a situation that might prevent you from completing your thesis on schedule.
If you need to request an extension, you can do this via the . You may need to pay additional tuition fees for the extended period of your study.
Notifications of Extenuating Circumstances (NEC)
If you wish to request an extension to a monitoring point, you will need to request an NEC to support your request. NECs allow you to inform the Doctoral School of events beyond your control that affect, or may affect, your ability to continue with your research.
You can also request that an NEC be put on your record as evidence for a future extension request or if you choose to seek a suspension of studies.
Why and when to apply for an NEC
There could be multiple reasons you need to apply for an NEC. If you become unwell during your studies or are faced with problems with your living situation or finances, then applying for an NEC can help you if you need to more time with your doctoral commitments.
However, there are other circumstances such as childcare, caring responsibilities, family emergencies or supervisor illnesses that impact your ability to meet deadlines. An NEC can be requested for any circumstances that you feel are 'exceptional' and unexpected.
How to apply for an NEC
To apply for an NEC, you must complete and email it to the Doctoral School with your supporting evidence. Evidence will differ depending on the circumstance e.g. if you request an NEC due to illness, you will need to supply a letter from a GP or hospital.
When you make the request, you must clearly identify a time period that was impacted. If you submit your request without either evidence or time period, the Doctoral School will not be able to grant your request and the application will be delayed.
